    The Internet Revolution: How Email Killed 90% of Office Admin (and AI Will Kill the Rest)

    It is hard now to remember just how much physical, mechanical work happened inside a 1995 UK office. Documents were typed, copied, stuffed into envelopes, walked to a post tray, posted, received, opened, time-stamped, photocopied, filed in a cabinet, and pulled back out by hand when needed. A 30-person office routinely employed two or three people whose job was, in essence, to move information between desks. By 2015, that work was simply gone. AI is now doing the same thing to the work that survived the internet — and the parallel is the most useful one for understanding what comes next.

    The frame

    The internet eliminated friction in office work — the cost of moving information. AI is eliminating cognition in office work — the cost of producing information. The first wave saved every office roughly 20 hours per worker per week. The second wave will save another 15–20.

    The UK office of 1995

    Picture a typical 30-person UK SME in 1995 — a professional services firm, an estate agent, a small distributor. Most offices had:

    • One or two full-time secretaries typing letters dictated by senior staff, fielding phone calls, and managing diaries on paper.
    • A filing room with several four-drawer cabinets, managed by someone whose job included pulling files for whoever needed them.
    • A franking machine running daily to handle outbound post — invoices, contracts, marketing material, customer correspondence.
    • A fax machine in constant use — for everything urgent, every contract counter-signature, every supplier order.
    • Desk diaries kept manually; meetings booked by phone; conflicts resolved by walking down the corridor.
    • Photocopiers as critical infrastructure — the largest single cost item in many offices after rent and salaries.
    • Internal post trolleys — physical objects, run twice a day by junior staff or dedicated post-room workers.

    None of this was unusual. All of it was standard. Most of it was gone within 20 years.

    What the internet quietly disappeared

    The headline-grabbing internet stories are about industries the internet destroyed — high-street retail, video rental, travel agents, classified ads. The bigger and quieter story is what the internet did inside every office that survived.

    Here is a partial list of work categories that simply ceased to exist in UK offices between 1995 and 2015:

    • Manual letter typing as a full-time job
    • Internal mail rooms in mid-sized businesses
    • Physical filing systems as the primary record
    • Switchboard operators in offices under ~200 people
    • Travel booking via in-house secretaries
    • Manual diary management and meeting scheduling
    • Faxing as a primary document transfer method
    • Photocopying as an hourly task
    • Posting as a daily routine for most staff
    • The "send a courier" line in office budgets

    Each of these was someone's job, or a meaningful part of someone's job. None were grand professions. All were the substrate on which white-collar work ran. The internet absorbed the substrate.

    Total time saved per worker, per week: ~18 hours. That is not a productivity boost. That is half a job. It explains why offices with 30 people in 1995 routinely run with 25 people doing more total work in 2015.

    Why some admin survived

    The internet did not eliminate all admin. It eliminated friction admin. The admin that survived shared common features — features that AI is now poised to absorb.

    • Drafting that requires language judgement — proposals, custom emails, client communications.
    • Classification and routing — reading something to decide what kind of thing it is, and who should handle it.
    • Summarising long inputs — meetings, document piles, threads.
    • Reasoning about unstructured data — looking at an invoice and deciding which client and which project it relates to.
    • Coordinated multi-step processes — onboarding a new client, processing a complaint, fulfilling a custom order.

    Notice the common feature: every one of these required language understanding. The internet collapsed friction. It did not collapse cognition. That left these tasks for humans for another 20 years.

    Pattern

    The internet ate the work that didn't require thinking. AI eats the work that does. Together they will absorb roughly 80% of what counted as "office admin" in 1995. The remaining 20% — genuine judgement, original thinking, relationship work, novel problem-solving — is the entirety of what the post-AI office worker spends their time on.

    The pattern: friction collapse

    The internet's mechanism was a single idea: collapse the cost of moving information across distance and time. Every transformation it caused — global ecommerce, social media, remote work, the gig economy, SaaS — flowed from that one mechanic.

    Once you see this pattern, it becomes obvious where the gaps were. The internet collapsed:

    • Distance friction (anywhere → anywhere, instantly)
    • Reproduction friction (one copy → infinite copies, free)
    • Discovery friction (search replaces directories, libraries, phone books)
    • Coordination friction (calendars, group messaging, shared docs)

    It did not collapse:

    • Cognitive friction (someone still has to read it, decide, draft, summarise)
    • Judgement friction (someone still has to choose between options)
    • Production-of-language friction (someone still has to write it)

    This is the gap AI fills. It is the second movement of the same symphony.

    AI is the second act

    Almost every task AI is currently being deployed against is, structurally, one of the three frictions the internet failed to absorb:

    Every one of these is a job category that has been done, throughout the entire internet era, by a human — because no software could understand language at the necessary level. That changed in roughly 2023. The implications are still rolling out.

    Why AI moves five times faster than the internet did

    The internet's full office-work transition took about 20 years (roughly 1995–2015). AI's equivalent transition will take about 4–5 years for most use cases. There are precise reasons.

    1. No hardware rollout. The internet required PCs on every desk, then broadband to every office, then mobile devices for every employee. Each was a multi-year, capital-intensive deployment. AI requires nothing new. The hardware is already there.
    2. No skills rollout. A whole generation had to learn email, the web, then SaaS. AI is consumed in plain English by anyone who can already type. There is no equivalent training cliff.
    3. No new business model required. Each AI use case slots into the existing CRM, helpdesk, accounts package, or email client via API or extension. No "intranet" or "extranet" to build.
    4. The capability curve is brutal. Internet capability roughly doubled every 5 years (Moore + bandwidth). AI capability is doubling every 6–12 months on relevant benchmarks, with cost falling ~80% per year. Every 12 months you don't decide, the decision gets cheaper to defer — and harder to recover from.
    5. The buyer is the user. The internet was deployed by IT departments, often years behind operational need. AI is being deployed by the operations leader herself, on Tuesday afternoon, on a credit card.

    What this leaves the human worker

    Here is the genuinely interesting question. After the internet absorbed friction tasks and AI absorbs cognitive routine, what's left for a person in a UK office?

    Empirically, in early-adopter businesses we've worked with, what's left is exactly the work that should always have been at the centre of those jobs:

    • Original thinking — strategy, novel problem-solving, decisions that don't have a precedent.
    • Trusted relationships — the work that requires you to be a person someone wants to deal with.
    • Judgement under ambiguity — the calls that don't have a right answer, where experience matters.
    • Domain expertise — knowing your industry, your customers, your operations, deeply.
    • Orchestration — running the AI agents themselves, designing what work they do, auditing the output.

    These are higher-value tasks than what AI absorbs. People doing these tasks generally enjoy work more, get paid more, and produce more. The transition to that state is uncomfortable.     What UK SMEs should take from this

    If you ran a UK office in 1995 and ignored the internet for 10 years, you didn't survive. By 2005 you were uncompetitive on cost, on speed, and on customer experience. The same dynamic is now in play with AI, on a five-year clock instead of a ten-year clock.

    The practical playbook is short:

    1. Inventory your remaining cognitive admin. The drafting, the summarising, the classifying, the reporting, the inbox-triaging. These are the 1995-equivalent tasks of 2026.
